Make the vendor show the failure path

A clean invoice sync is the easy case. The useful demo is a deposit followed by a partial payment, an edited invoice, a refund, and a failed sync. Ask who can see the error, where it is repaired, and which system becomes the source of truth after the first transfer.

QuickBooks questions for an HVAC workflow

  1. Can one customer have multiple equipment records and service locations without creating duplicates in QuickBooks?
  2. How do membership revenue, deferred work, deposits, and maintenance visits appear in the general ledger?
  3. Do price-book items preserve income accounts, tax treatment, cost, and class or location tracking?
  4. What happens when a technician collects a payment before the office edits the invoice?
  5. Can the accounting team close a period without a later field-service edit reopening it?
  6. Is the QuickBooks connection included in the quoted tier, and is setup or migration billed separately?

QuickBooks Online versus Desktop

QuickBooks Desktop narrows the shortlist because it usually needs a local connector and a machine that remains available to sync. If Desktop is temporary, evaluate the field-service product against the future QuickBooks Online workflow as well as today's setup. If Desktop is permanent, make the vendor demonstrate a sync after the connector machine has been offline, then restarted.

Does every product on this page support two-way sync?

Should invoices be edited in QuickBooks or the HVAC system?
